What is Morae Vault?
Morae Vault is suitable for all iManage customers experiencing overage or storage pack costs and also those with a desire for iManage ‘archive’ functionality. It provides easy archiving of iManage files with flexibility to scale up/down as required.

How Morae Vault works
Customers are able to configure search criteria to identify documents for archival, which are then migrated to lower-cost Azure storage with an HTML placeholder document remaining in iManage in its place. Once the file transfer has been validated, the original is shredded to recover storage. Morae Vault is configured, out of the box, to utilize Azure Cold Storage.
Morae Vault, using MySQL, is driven by two scheduleable searches:
- Archival search: This will execute a document search using the configured parameters. Any documents matching the filter will be added to the Vault application database for processing, and once migrated, a HTML document will be left in place of the original.
- Deletion search: This search attempts to find any previously created placeholders. If any have been deleted, Vault will optionally check the trash bin before queueing a job to delete the corresponding file from Azure storage.
The placeholder document serves as an anchor for several use cases:
Discovery: As all original metadata properties are retained (save for the Class, which is modified to ARCHIVED) the placeholder is still discoverable via search using the same metadata properties as the original.
Records Management: As Vault tracks any created placeholders, should one be deleted, this can optionally be used as a trigger to delete the corresponding file from the archive. This ensures any iRM policies that may be in place are fully respected.
Security: The ACL on the placeholder is used for authorisation to download the archived file from Azure. The placeholder ACL can be modified should access requirements to the archived file change.
Extensibility: Two document context menu extensions are present for archived files. These are:
- Download from Morae Vault: This allows an authorised user to download the original file from Azure storage. The generated link has a 10 minute expiry to mitigate the risk of sharing.
- Rehydrate from Morae Vault: This restores the file from the archive and deletes the placeholder, providing the ability to undo the archival process.
